Registration is mandatory via the UN Indico platform for access to the Palais des Nations. This process is managed by the United Nations, not the IGF Secretariat.

⚠️  Incomplete registrations that do not meet UN security requirements (including photo) will not be approved.

How to register?

Step 1: Before starting your registration, please obtain a recent passport-style photograph

We recommend visiting a professional photo service to ensure your photo meets required standards. Please follow these key requirements:

  • Use a plain background
  • Ensure a clear, front-facing headshot
  • Maintain a neutral expression (no smiling)
  • Do not use a photo of a printed photo

Step 2: Register for the AGM taking place from October 12-14, 2026.

  • If you do not have an account please click here to create an Indico account. We recommend you creating an account with your institutional email address if possible, as it will facilitate the validation of your information.
  • Upload a passport-style photograph when asked
  • After you have an Indico account, proceed to register for the AGM by clicking here.
  • To ensure a smooth registration approval process, please upload your nomination letter, note verbale or any other supporting documentation that confirms your affiliation with the organization indicated in your registration.

There is no registration on-site, please register in advance, otherwise the IGF cannot provide support for your registration approval with the UN.

Sponsored participants should have received their flight itinerary from our travel agents, Continental or GP Travel.

Before your travel, please search for the email with your electronic ticket, verify the departure time, and make sure to arrive on time for your flight. To find your electronic ticket, search emails from:

Our travel agents work during business hours, so if you encounter any issues, you will need to reach out to the travel agency’s emergency contacts listed on your ticket. Please read carefully and follow the instructions below.

What should I do if my flight gets delayed or cancelled?

If your flight is delayed or cancelled, please coordinate with the airline. They should reschedule your flight and provide meals and accommodation if you are at the airport and the flight is delayed beyond reasonable times.

As a general rule, if you are a passenger stuck en route, there is not much a travel agent can do, so going to the airline at the airport is your best option.

How do I cancel or reschedule my flight at the last minute?

All changes and cancellations must be communicated to the IGF Secretariat in advance. However, if you need to cancel or reschedule your flight at the last minute (18 hours before departure), please reach out to the travel agent emergency contacts stated on your electronic ticket to reschedule or cancel the flights and then inform the IGF Secretariat.  

What should I do if I miss my flight?

If you missed your flight, the IGF Secretariat will not cover any additional costs for flight rearrangements. There are two potential situations:

  • If you miss your flight and have already checked in, the airline will typically apply the forfeit for a no-show, which means they will forfeit the entire ticket, even the return portion. You can reach out to the travel agent’s emergency contacts to check for options, but you will likely need to buy a whole new ticket (including a new return) if you want to travel.
  • If you missed your flight but did not check in, please reach out to the travel agent’s emergency contacts to see if there is a way to arrange a new flight at no cost. This will depend on the conditions of the purchased ticket, which might differ in each case, depending on the airlines and fares available. If there are no options available, you will need to buy a new ticket of your own if you want to travel.

Where do I find the travel agent’s emergency contact?

The emergency contact information is included in the email with your electronic ticket. You will find the contact details at the bottom of the electronic ticket. All the itineraries will have the after-hours number for where you are from.

Note that the IGF Secretariat team will also be travelling and, in any case, cannot contact the airline on your behalf.

Please email agm@igfmining.org to inform us of any significant itinerary changes.

You should receive an individual confirmation of your accommodation booking by email at least one week in advance of the event. If you have not, please let us know on or by Monday, October 5.

IGF-sponsored participants will be hosted at the Hotel Royal:

  • Check-in starts at 15:00., and check-out is by 12:00.

Bring a credit card for check-in at the hotel, as it will be requested by the hotel to set up a guarantee. 

The IGF Secretariat will cover your stay (with breakfasts included) for the duration needed to attend the event. Any additional nights booked for personal convenience, upgrades, and any other expenses (e.g., laundry, minibar, phone) will be your responsibility.

The IGF Secretariat will provide a daily allowance of CHF 100 for the duration of your stay, based on the dates required for you to attend the event.

The allowance is calculated to cover lunches, dinners, and incidentals and will include other reimbursements requested prior to the AGM (e.g., visa application fees). We will exclude from the allowance calculation, the meals already covered and provided as part of the event agenda.          

The allowance will be paid on a pre-paid Visa card that will be distributed on Sunday, October 11, at the Hotel Royal.

The cards are personal and will be delivered to the beneficiary only, upon presentation of a passport or picture ID.

The cards can be used to pay for any expenses during the event where Visa cards are accepted, anywhere in the world. You can also withdraw cash as needed.

Please note that:

  • Any expenses that have not been claimed prior to September 11, as instructed by email, will not be reimbursed.
  • If you plan an extended stay in Geneva or any other city by personal preference, the IGF Secretariat will not be providing any financial support.

During your stay with the hotel, local transportation in Geneva will be free of charge, including to/from the airport.  The hotel will send you a transit pass by email 2–3 days prior to your check-in date. Please follow the instructions if you need to activate it.

Note that the IGF Secretariat will not reimburse any taxi or local transit fees paid out of pocket.

Please bring all your supporting documentation regarding your visit to Geneva: your registration, nominations letter is available, your accommodation confirmation, along with other relevant documents, such as employment letters, in case requested by the immigration officer.

The Geneva International Airport is located near the city centre. It is recommended that you take the train to Gare Cornavin (Geneva’s main train station). The train journey between the Airport and Gare Cornavin takes 6 minutes. The hotel is located just a few blocks away, a 5-minute walk from Gare Cornavin.

Transit will be free with the pass sent by the hotel (Please see the section on local transportation for more details.)

All trains departing from/going to the Genève-Aéroport station stop in Geneva’s city centre, at Geneva-Cornavin station. (It is a 7-minute trip between the two stations, with up to seven trains running per hour at peak hours.) 

Where can I find the train station at the airport?

Passengers have direct access to the airport’s train station at the check-in level and from the arrivals hall.

Alternatively, you can take the # 8 bus and get off at the “UIT” stop. Walk 450 metres on Avenue Giuseppe-Motta toward the Broken Chair near the UN grounds and then walk about 10 minutes to Pregny Gate.

On the first day of conference, delegates are encouraged to arrive early to the UN grounds to allow sufficient time to activate the badge, as entry lines may be long. Badge activation must be completed at the Pregny Gate, which is open from 8:00 a.m. to 5:00 p.m.

To activate your badge on the first day you are attending the conference, you must:

  1. Be registered and approved on the Indico platform to attend the AGM conference.
  2. Present your valid, recognized UN member state passport. A valid national ID card issued by a European Union member state is accepted; otherwise, it has to be your passport.
  3. Present the digital badge that you will have received from your Indico registration process. Please download the badge onto your mobile device or print it in full color (there is NO Wi-Fi at the gate) to speed up your access.

Once your badge has been activated, you will be granted access to the UN premises all the remaining conference days stated in your badge by scanning it at the entrance.

Participants invited to both the IGF AGM (3–5 November) and the IGF Government Forum (6 November) are strongly encouraged to validate both of their digital badges upon arrival at the Pregny Gate (UN Accreditation Desk) on 3 November. Doing so will grant them access to the Palais des Nations for the entire duration of the events (3–6 November). If participants do not validate both badges on 3 November, they will be required to return to the Pregny Gate on 6 November to validate the badge specific to the IGF Government Forum.

There are two access points to the Palais des Nations: Pregny Gate (the main visitor entrance) and Peace Gate (near the Broken Chair monument). Please refer to the Palais des Nations map for gate locations.

First Day Entry & Badge Activation

  • On your first day, all participants must enter through the Pregny Gate between 08:00 and 17:00 to activate their conference badge.

Subsequent Entry by Badge Type

  • Green Badges (delegates from Member States and IGOs): May use either Peace Gate or Pregny Gate for entry on subsequent days.
  • Red Badges (UNCTAD-accredited NGOs): May enter via Peace Gate only between 08:00 and 10:00. After 10:00, entry is only permitted through Pregny Gate.
  • All Other Badges (academia, private sector, youth, others): Must always use Pregny Gate for entry.

Exit:

  • All participants may exit through either Peace Gate or Pregny Gate.

Important Note: To facilitate a smooth security check, we strongly recommend avoiding large bags or luggage when entering the premises.

Once you have passed through security, follow the pathway to the right toward the Tempus building. The Tempus Building is located close to the Peace Gate. On the first conference day, IGF team members will be located at key places around the Palais des Nations to guide you along the way. To get from the Pregny Gate to Tempus Building, follow the path indicated by the blue line as illustrated below.

On October 15, the IGF Government Forum will take place at a location TBC.

Persons with disabilities are automatically granted priority access upon arrival at Pregny Gate. They are also given a map of the Palais that indicates accessible doors, elevators, and restrooms. Accessibility is limited due to ongoing renovations. Please check for additional details here.

Parking Authorizations

Parking is not allowed for conference’s participants at the Palais des Nations. However, parking authorizations might be granted by the UN for accredited government delegates at the premises as coordinated in advance by their permanent mission in Geneva. To this end, the delegate’s country permanent mission in Geneva should request authorization in advance to the UN Security and Safety Service. IGF cannot support this process.

Taxis

We strongly recommend using public transportation while in Geneva. You may contact the following companies should you need to book a taxi. Please note that taxis are not permitted inside the UN grounds. Arrange for pick-up and drop-off outside the Pregny Gate.

Currency Change and ATM

Due to renovations, the UBS bank and ATMs, located at E Building, level 2, are closed.

Wi-Fi

Free Wi-Fi is available in most areas of the Palais des Nations, including inside meeting rooms.

Shopping and Souvenirs

Several shops sell UN-branded souvenirs, postcards, and books. You can find the main shop in the E Building, Level 2.

Other Facilities

There are other facilities, such as a post office and SAFI, available in the Palais des Nations. Please refer to the map to locate them

Medical service at the Palais des Nations

Located in the S1 building, Level 1, medical services are available from Monday to Friday from 8:00 to 17:00.

Please do not leave your personal belongings unattended. UN facilities are open to the public due to the conferences. Neither the United Nations nor the IGF will be held responsible for any lost items.

Weather⁠
The weather at this time of year can be quite chilly. Temperatures typically range from 3°C to 10°C (37°F to 50°F), with the possibility of rain, so we recommend bringing warm clothing and waterproof gear.

Power
The voltage in Switzerland, as in most of Europe, is 230V/50 Hz. Switzerland uses type C (2-pin) and Type J (3-pin) plugs. (Type C 2-pin plugs also fit J sockets.)
